In this newly created function, you will provide coordination support for the avoidance and Partnership business group and value stream boards and other senior governance functions as needed. You will work closely with other functions in the DCE Office to ensure the Group has the full range of personal assistance, business management support, and coordination to make sure we are operating as efficiently as possible. You will also work closely with the Group’s Executive adjunct and Personal adjunct to ensure Heads of have personal adjunct support. An exciting new addition to your responsibilities will be the creation and maintenance of group induction and onboarding material including being part of the SME group to prepare, update and store both business group and unit material for new staff to ensure a consistent and great onboarding practice is had for all our new starters to our group. Day to day Job responsibilities: » Coordinating and collating the meeting packs (Agendas, attending the meeting and producing minutes, ad hoc tasks » Provide ad hoc personal assistance (secretarial and administrative) support, including diary and event management to ensure senior leaders are supported all over their everyday operations » Supporting business advisors with coordination tasks that provides avoidance and Partnership with high quality advice » Understand and apply the significant Business Group process, standards, and operating requirements to support efficient business group operation » Monitor the shared mailbox, respond to queries, and keeping our sharepoint page up to date » Modelling health and safety best practice » Champion opportunities to embed Wh?ia te Tika and to promote diversity and inclusion What is needed to be prosperous in this function: » You will have practice in a coordination and/or personal adjunct function in a large/complex environment » capability to prioritise, plan, and coordinate activities and resources to meet changing business needs and deadlines » Flexibility and a can-do attitude » Excellent customer service and interpersonal expertise to work productively with a wide variety of people » A positive and collaborative working style and the capability to work conscientiously, under pressure, without close supervision » High accuracy and attention to detail » Advanced computer expertise and proficiency in Microsoft software with the capability to lgain new applications/systems To tell you a little bit about us we are a positive, friendly, and collaborative team, we have an awesome leader who really values what we bring to work each day.
