The function/Te mahi

We are currently seeking an Executive adjunct to support the Pacific Development Office. this function provides culturally appropriate confidential and high-level secretarial and administrative support services, across a range of complex issues, supporting a busy senior leader and a close-knit team.
You will be working as part of the Shared Services team, flexibly providing administrative services across the University. A strong customer service orientation and commitment to continuous improvement initiatives is critical to your success.
In this function you will:
   » Be the point of contact for the Director of the Pacific Development Office, anticipating needs, and analysing and assessing requests in order to screen and prioritise urgent matters.
   » Troubleshoot and initiate action to facilitate resolution and problem solving in a culturally sensitive manner.
   » Represent the Pacific Development Office and their staff all over the University and the wider Pacific community.
   » Draft, prepare, coordinate and review information, high-level communication and documents on a range of matters.
   » Complete diary management, correspondence, meeting administration and organising travel arrangements.

   » Knowledge and knowledge of Pacific cultures and customs is a requirement to enable appropriate interactions within the working community.
   » Proven practice working in an administrative/secretarial function in a busy or complex environment, with practice working supporting a senior manager/executive an additional advantage.
   » A passion for delivering exceptional service to customers.
   » An continuing commitment to positive results for our students, staff and visitors.
knowledge and appreciation of Pacific peoples aspirations in the New Zealand context will be beneficial. Knowledge or knowledge of Pasifika languages is advantageous, but not required.

The Pacific Development Office supports the implementation of the Pacific Strategic Framework across the University of Otago, leading a variety of strategic projects and engaging closely with leaders across the University and the wider Pacific community.

This is a full-time (1.0 FTE), 12-month fixed-term position, located in Dunedin.
