Activities Coordinator - Taituar? - Position Description
Part Time position of 27 hours per week (usually worked in rostered shifts Tuesday to Friday, and includes occasional after hours and some weekends)
Fixed Term - 12 Months

Position Purpose:
The purpose of this function is to deliver & evaluate key projects and activities at The Arts Village.

About the function: The Activities Coordinator function is a key project coordination function for The Arts Village, looking after our busy schedule of activities and events.

This is a hands-on function and key point of contact with our creative community here in Rotorua. Information technology is ideally suited to Somebody with an arts background, who is motivated by strong community results.

this function will involve working closely with the rest of the team to make life in Rotorua good through arts programming that builds community and provides significant opportunities to creatives.

this function is fixed-term for 12 months due to funding and resource capacity.

What you will be doing:

Admin & Planning:
   »
Create logistical plans to organise key activities and ensure event objectives are met.
   »
Manage the schedule of activities at The Arts Village including Home Events, and the Exhibition Schedule.
   »
Work with the Creative Wellbeing Coordinator to identify volunteer jobs and recruit volunteers for planned events and activities.
   »
Manage and update the exhibition schedule.

Delivery:
   »
Prepare galleries and coordinate the installation and de-installation of shows.
   »
Manage task timeline and assist with delivery of key projects including: Open Studios Project, 200 Show, Art in the Park, Colour the Night, Festivals and the Community Expo.
   »
Work with the Finance Manager to ensure events are managed to budget.
   »
Take photos and document exhibitions, projects, and events.
   »
Contribute to a safe workplace alongside the rest of the team.
   »
This position may include additional tasks to support the day-to-day operations of The Arts Village.

Communication:
   »
Respond to queries and requests from the public.
   »
Report on key projects and activities at the end of the month to the Director.
   »
Create communications schedules for key projects covering multiple networks.
   »
Update website, social media, and mailing lists as required.
   »
Deliver Project Completion Reports for all exhibitions and major projects.

What We are seeking for:
   »
practice working within the arts sector.
   »
Proven practice in project delivery.
   »
Qualified with a Bachelor's Degree or equivalent, in significant fields.
   »
Someone friendly & cheerful, who enjoys interacting with people and believes in the power of the arts to make a difference.
   »
An knowledge of exhibitions and public programming would be a huge asset to this function.
   »
Great written/verbal communication, and enthusiasm for and/or expertise in te Reo M?ori.
   »
An enthusiastic team member; open to constructive feedback, and able to add their own ideas and suggestions to group discussions. Someone happy working independently, and comfortable asking for help when needed.
   »
A positive attitude and cool head for responding to anything that might arise.
   »
A good level of organisation and able to manage schedules.
   »
practice with Google for Work tools (esp. Gmail, Google Drive, Google Docs, and Google Sheets) would be awesome. practice using Apple Mac OSx would be an advantage also. You will be trained in all systems as needed.
   »
You don't need to be an artist or artistic background to work at The Arts Village, but an appreciation for art and any creative interests of your own is a plus!
