About this function
The Tautai Operations Manager position will be located in the heart of New Zealand's art mecca - our Tautai Karangahape Road headquarters- working closely with the Director and wider team to project lead and deliver on collaborative results that serve Tautai's strategy. this function is largely administrative, alongside project management and maintaining the organisation's administrative support systems. this function will suit Somebody with excellent management expertise, communication expertise who is able to prioritise and deliver on time.
The current Tautai team are small-in-numbers but big on impact, with a passion for creativity and supporting Pasifika arts. The ideal candidate will not only share this passion, but bring with them a expertiseet which enchances and builds upon the organisation's structural processes.With such a unique position in T?maki Makaurau, this function will suit a solutions focused person with proven practice of facilities management and/or people management,and someone who enjoys working in a team environment.
The candidate will work closely with the Administrator, Programmes Manager, Gallery Manager and Finance Manager to deliver on team projects. Key stakeholder engagement will involve building and maintaining relationships with external contractors in facilities management, legal and accountancy advisors/service providers.

Essential expertise ·
   » Proven practice of project Management
   » practice in the management and maintenance of effective administrative and financial systems.
   » capability to multitask.
Preferred expertise :
   » A high level of familiarity and confidence working with Pacific communities & peoples in Aotearoa and with a commitment to te Tiriti o Waitangi.
   » Proven history of maintaining and building positive relationships and networks within the Pacific.
   » Proficiency with accounting systems, Xero, and Banking systems.
   » Comfortable maintaining a database or CRM, Facilities management tools, Fundraising tools, and Google G Suite/Microsoft Suite.
   » Adept at picking up new systems and coaching others.

   » Contribute to our strategic planning process, developing and revising the organisation's strategic plan and provide focus on financial and operational aspects.
   » Contribute to ensuring finances and operations adhere to the organisation's values of integrity and collaboration.
   » Contribute to the implementation of integrated and aligned processes in the organisation to more effectively and more sustainably deliver high standard programmes.
   » Lead projects and manage and its networks geared to sustain the long term financial and strategic development of the organisation.
   » Deliver and lead Health and Safety practices for the team members to ensure a healthy work environment.
   » Uphold and contribute to Tautai's vision and organisational values.
Financial
   » Prepare financial administration records and basic reports for the office and support the accounts management· Effectively manage relationships with external advisors and service providers in the areas of administrative services, financial management and reporting and legal compliance.
   » Works closely with the team members to deliver on financial reports, which are delivered in a timely manner.
   » Delivers projects within budget and ensures financial management of budget adheres to Tautai's values.
Health & Safety
   » Ensure all Tautai team members are informed and trained in health and safety practices, and procedures in their specific areas of work.
   » Ensure Tautai is a compliant organisation and has up to date processes for Health and Safety.
Programmes, systems and processes
   » Contribute to the development of assigned projects
   » Establish and sustain effective relationships with programme and sector partners as required,
Establish and sustain significant and secure relationships with the Pasifika community and arts sector
   » practice of providing effective administrative support in an equivalent organisation/sector
   » A good knowledge of accounts and financial reporting
Qualifications
   » 3+ years of practice in a similar function
   » Proficiency with Microsoft Office
   » Strong organizational and communication expertise
   » Strong capability to multitask
   » Comfort working with multiple groups within the arts sector

Located in T?maki Makaurau, Aotearoa New Zealand, Tautai Contemporary Pacific Arts Trust is a charitable trust dedicated to championing Pacific arts and artists. With almost forty years, Tautai has grown to become Aotearoa's premiere Pacific arts organisation with a multidisciplinary focus. The Trust brings artists and the wider Tautai aiga together through a range of events and activities locally and globally. Our purpose is to grow a rich ecology of Pacific creative arts practice and provide leadership abilities, support and unique opportunities for the Tagata Moana arts community.
The Operations Manager function will provide effective management of all administrative support systems, ensuring cost effective decisions are made to improve and deliver on the projects and support the delivery of the organisation's strategy and direction.
