Responsibilities for this role: Administrative Duties: » Be the friendly face of our office, handling reception duties with a smile. » Organize office operations and maintain supplies. » Streamline office operations and procedures to keep everything running smoothly. » Keep our supplies stocked and our team equipped for success. » Coordinate with service providers and manage insurance and training records. » Maintain insurance and training records, impressing clients with your organizational skills. » Be the go-to person for implementing new systems and driving innovation. » Develop positive client relationships and provide exceptional service. » Follow up on client requests and feedback promptly. Financial Administration: » Perform bank reconciliations, ensuring accuracy and precision. » Handle Accounts Payable by processing invoices swiftly and accurately. » Manage Accounts Receivable, ensuring timely client invoicing and follow-ups. » Keep our client and supplier data pristine and up to date. » Collaborate with accountants to ace end-of-year transactions and reporting. » Experience with Xero, Smartly, MYOB, & Payroll. Human Resources & Health and Safety: » Maintained personnel files and processed payroll. » Manage HR documents and ensure compliance with employment regulations. » Oversee staff training and onboarding. » Ensure health and safety documentation is up to date. » Promote a safe work environment. Ideal Candidates: » Experience in payroll, accounts payable/receivable, and office management. » Understanding of NZ employment legislation. » Proficiency in accounting software (Xero, Smartly, MYOB). » High accuracy and attention to detail. » Strong communication skills and a positive, solutions-oriented mindset.
