Job Opportunity: Administrator:Job description:Job detailsOrganisation Creative Capital Arts Trust Closes 14 Jan 2022 Posted on 10 Jan 2022 Region Wellington Work type Full time employment, Contract, Fixed Term Work classification Management & Admin SharePOSITION DESCRIPTIONCREATIVE CAPITAL ARTS TRUST ADMINISTRATOR This is a fulltime contract until the 30th of April 2022 Administration/ Office Management » Assist and support the Senior Management Team » Ensuring the exclusive CCAT office area is adequately resourced and operates smoothly providing a pleasant working environment, and basic resources are in place for festival teams, office space and equipment, stationery orders, photocopy ink, paper etc » Manage Central Reception at busy, key times (may include phone tasks) » Support the Co-working space: » Opening the space over agreed hours each week. 8.30am-5pm Monday to Friday. » Making sure Information technology is comfortable, and well presented » Managing email address » Provide Information technology support where needed Financial » Manage and code Purchase Orders, Bills and Invoices » Manage and upload upload receipts for spending made with Credit Card » Reconcile Xero accounts HR » Ensure that volunteers and interns are equipped for tasks and supported in their tasks » Support volunteer and intern appreciation events and activities » Support onboarding, orientation, and offboarding of volunteers, interns, contractors and staff » Coordination and management of volunteers for CubaDupa on the weekend Sponsorship & Funding » Assist with supporting requirements for sponsors » Example wristbands for VIP space Systems and processes » Support the team with data entry for systems. » Manage invites and RSVPs for NZ Fringe and CubaDupa stakeholder events » Regular stocktakes of merchandise and sales over the NZ Fringe period Ticketing » Support the NZ Fringe Box office all over the festival. » Manage phones when required » Support the Fringe team with preparations for reconciliations for shows. Project Management » CubaDupa VIP area scheduling and hosting » Support CubaDupa Site Director and Vendor Coordinator to manage coms with vendors, and residents around Vaccination passes and zones for CubaDupa » Support of VIP space during the festival KEY CAPABILITIES The key capabilities required this function include: Communication » capability to communicate effectively and in a timely manner with a wide variety of stakeholders. Personnel Management » practice in managing small teams to deliver beyond expectations Project & Systems Management » practice in utilising a Project Management system to manage and complete tasks by deadlines Financial Management » Attention to detail and capability to stay on top of reconciliations. Relationship management. » Stakeholder management where Fringe stakeholders are artists and venues. Industry and Participant Engagement » A supportive and mentoring attitude to engaging with artists and participants as clients » An knowledge of the arts industry in New Zealand, and how to engage with networks and individuals.
