Coordinating with almost every department of the business.This is a permanent- full-time role located in Favona, Auckland. ROLE & RESPONSIBILITIESHealth and Safety» Provide support and guidance to all employees. » Preparing the SSSP for each project site » Ensure subcontractors H&S documents is up to date » Investigating incidents and accidents » Inducting employees as needed and updating induction documents » Ensuring the plant and equipment is certified /service as needed » Assisting with task analysis » Facilitate H&S training and maintain training records. » Preparation of documents/reports for H & S Meetings » Regularly report to the directors of the business. » Regular H&S audit checks in factory/company vehicles/first aid Procurement / Purchasing » Manage and control purchase order process » Coordination of purchasing functions, including for overseas buying » Review and analyze vendors/suppliers, supply and pricing options. » Investigation of alternative supply options including overseas markets » Assist Project Managers to obtain quotes where costs exceed delegated authority Payment Claim Administration » Facilitate off-site materials claims with Admin Team, including ensuring materials are labeled correctly, ready for main contractor inspection » Arrange for off-site material photos to be taken » Ensure insurance certificates are current and off-site material schedules are signed » Ensure variations are up to date before commencing data entry » Assist with preparation of payment claims, including ancillary documentation, for approval of management » Assists Admin Team in ensuring contractor payment schedules are received on time and follow up any missing/late » Interrogate unpaid items on payment schedules in a timely manner » Distribute payment schedules to project managers for action with identification of unapproved values or contra charges Company Vehicle Administration » Arrange bookings for WOF and COF » Arrange scheduled service bookings » Arrange quotes for repairs and submit for approval » Maintain vehicle and driver register » Maintain fuel cards KEY PERFORMANCE INDICATORS» Maintenance and facilitation of clear health and safety policy, communication, practice and guidelines.» Regular and effective reporting on health and safety developments and progress » Early identification of key requirements and priorities » Healthy stakeholder relationships, specifically with the client but also other trades, our subcontractors, etc. » Development of internal and international supply options » Timely return of approved invoices » Smooth payment claims process ensuring compliance with Construction Contracts Act Please apply by hitting the APPLY button or contact email: kagnew@adecco.co.nz Adecco is acting as an Employment Business in relation to this vacancy.
