We are currently seeking an experienced Executive Assistant for our very busy client. You will be providing high-level operational and administrative support. As an integral part of the team, you will be responsible for managing workflow, operating work cycles, and deadlines by being across strategic imperatives and priorities.
This is a fixed term maternity cover; however, there is potential to move into another area of the business on completion of this role.
Responsibilities:
   » Coordinate and manage project tasks to ensure project delivery within allocated budget and timeline.
   » Liaise between Manager and subcontractors to ensure smooth operations delivery.
   » Administer and coordinate various weekly/monthly meetings including preparing agendas, recording and distributing minutes, and setting up video conferencing.
   » Arrange corporate travel for the manager and the extended team including booking flights, ground transportation and accommodation whilst adhering to company policies.
   » Conserve the manager's time by monitoring incoming communications and flagging any urgent emails, particularly those that have potential wider organisational impact, whilst also setting in place systems to store and manage email traffic.
   » Be proactive and resourcefully manage/prioritize the competing demands of a wide range of duties and responsibilities including assisting in preparing reports and presentations.
   » Maintain clear and accurate operations documents/procedures for reference purposes.
Requirements:
   » Proven experience in support of senior executives, preferably in a global organization.
   » Work experience preferably from a Professional Services / Corporate environment.
   » Records and document management.
   » Proofreading.
   » Office management.
   » Advanced skills in MS Office (Word, Excel, PowerPoint, Outlook).
