Te ?huatunga a te t?ranga – About the function
We are currently recruiting for multiple Executive Support functions in our Policy group to work within the Criminal Justice Unit and in the Office of the Deputy Secretary Unit. These are all permanent, full-time positions located in Wellington.
Your function would be to work closely with the unit’s other Executive Support to streamline the management team’s day-to-day processes and procedures. The management teams generally consist of a General Manager, Chief Advisor and four Policy Managers, so practice in providing support to teams at this level is essential.
The Criminal Justice Unit is dedicated and passionate and works on high profile and complex topics. There are quick turnarounds and deadlines. You would be facilitating the prosperous completion of the work by supporting managers assigned to you and their diaries.
Office of the Deputy Secretary supports the Policy Group to operate effectively and efficiently. Your function would be to work closely with the Executive adjunct for the Deputy Secretary and the Unit as a whole to support the Director of the Office of the Deputy Secretary.
Your key responsibilities in this function will be, but not limited to the following:
   » Diary and calendar management including scheduling internal and external meetings
   » Multiple inbox management
   » Coordination of documentation for meetings
   » Travel and accommodation management
   » Managing correspondence including that of a confidential nature
   » Appropriate discretion with sensitive and confidential information
   » Supporting the wider Executive Support team with general administration
   » Working to multiple managers
   » Coordination of reporting
   » Provide secretariat support to internal committees and forums
   » Contribute to wider process improvements

   » Strong working expertise of the MS Office suite
   » Excellent time management expertise
   » Confidence in working with all levels of management
   » capability to multi task, re-prioritise and triage the day’s tasks dependant on the unit’s needs
   » practice working in either an Executive adjunct/Support function or broad Personal adjunct practice and ready to take the next step in your career
We are seeking for candidates who are comfortable in a fast-paced environment, someone who uses their initiative and thinks ahead. The ideal applicant will have excellent time management and prioritisation capabilities with strong interpersonal expertise. You will be a great problem solver, adaptable and will have the capability to communicate effectively with a wide variety of stakeholders at all levels. Switching gears will be your forte where you strive in a dynamic working environment.

income range
The remuneration band for this function is $50,128 to $70,768 – while the appointing income will be located on expertise and practice, we are willing to pay higher in the band to attract strong candidates into this function.
