The function:
This is an exciting opportunity for someone exceptional to utilise their executive administrative expertise to provide professional and confidential executive support to the Manager Centralised Services and her busy Service Manager team.
In this function, you will be an approachable point of contact for the team. You will provide diary and email management, organise meetings and travel, prepare documentation including meeting agendas, minute taking and action points. You will also assist the wider team with administrative support, making sure everything runs smoothly and all team systems and processes are as efficient as possible. Information technology is critical to ensure confidentiality of documentation and information is maintained at all times. Maintaining a calm, efficient but friendly approach under pressure is essential.
Leading a team of 7 Service Managers, the Manager Centralised Services is professional, hardworking, and focussed on delivering a large work programme, so an enthusiastic and forthright, high level of executive support is expected. We are seeking for an practiced professional who can self-manage, is comfortable managing multiple deadlines and has an unflappable approach in challenging situations.
You will be encouraged to add value and show initiative and need to be intuitive to your Managers needs and pitch in where needed. Your approachcapability and excellent interpersonal communication expertise will ensure you can confidently work with a variety of stakeholders. You will be exposed to sensitive information and high levels of confidentiality, so integrity and trust in this position is vital.
What are we looking for?
   » Someone who is self-managing and comfortable juggling multiple demands. You're able to engage with a range of stakeholders, be able to see where things need to be done and have the confidence and judgement to keep things moving without your manager.
   » You’re known to be friendly, efficient, and focused on quality. You are competent in the use of Outlook, Word, Excel and PowerPoint and highly proactive and motivated, with strong attention to detail and good practice in minute-taking.
   » You'll need good time management and communication expertise and be able to build effective relationships with people across MSD.
   » You can demonstrate a background of taking initiative in covering problems.
   » You will be comfortable with the use of significant technology including digital approaches to meetings, communication (such as video conferencing) and organisation.
   » An knowledge of finance related administrative tasks and recruitment support would be beneficial.
   » You enjoy working in a dynamic team, focused on achieving great results for New Zealanders.
