Programme Coordinator

The Improvement, Systems and Technology team at the Ministry of Social Development is all about enabling people and partners with improved services and effective technologies so New Zealanders can easily access the support they need.

To support the delivery of our work programme, we are building our programme delivery practice in the Improvement, Systems and Technology Group and now are looking for a talented Programme Coordinator to join us.
As a Programme Coordinator, you will work closely with the Programme Director, Programme and Project Managers and project teams to provide administrative and programme support.
Requirements of the function
   » Provide administrative, project, and programme support to the Programme practice
   » Support the Programme Director, Programme and Project Managers in providing best practice advice and guidance to project teams
   » Providing advice and guidance to PMs on MSD processes, policies and standards
   » Lead and coordinate organisation and programme and project onboarding for new joiners
   » Facilitate and participate in workshops and other learning sessions for programmes and projects
   » Assist with the coordination of project and programme planning and scheduling
   » Organise project meetings, coordinate agendas and distribute meeting materials, take minutes and maintain action and decision logs, as agreed with Programme and Project Managers
   » Review project artefacts for quality assurance, including risk and issue registers, action and decision registers, and performance reports
   » Assist with administrative activities related to financial management including purchase order, contract and invoice management
   » Supporting continuing control and assurance activities across projects and programmes
   » Providing skills in the use of various project planning and delivery tools
   » Assist with management and maintenance of key project artefacts
   » Contribute to process improvement and development of the PM practice
   » Promote and encourage programmes and projects

   » An eye for detail with strong prioritisation, organisation, and time management skills with capability to meet deadlines
   » practice in an Information Technology services environment, ideally with some in the public service area
   » prosperous people management skills utilised in a complex, changing environment
   » Exposure to different Agile and traditional project delivery methodologies
   » The capability to build and manage relationships with internal and external stakeholders
   » Demonstrated capability in negotiating constructive results in complex environments with competing priorities
   » An knowledge of technology capabilities and how they work together to deliver value
   » Advanced skills in using office software packages, such as word processor, spread sheets, presentations and project planning software
   » The capability and practice to accurately collate data and provide the outcome to the required individuals
   » capability to work with numbers and produce and interpret significant statistics and insights
   » Excellent communication, self-management and interpersonal skills
   » Excellent documentation skills
